How the Tax Preparation Process Works
This page summarizes the standard procedures used by Tolli Tax & Accounting in connection with the preparation of federal and state income tax returns. These procedures are consistent with the terms outlined in our engagement agreement.
1. Engagement & Authorization
Before any tax services are performed, clients must:
Execute a signed engagement agreement
Provide required identification in accordance with IRS regulations
Acknowledge responsibility for providing complete and accurate information
No tax preparation services begin until the engagement agreement is executed.
2. Client Responsibility for Information
Clients are responsible for providing all information necessary for the preparation of complete and accurate tax returns.
This includes, but is not limited to:
Income statements and supporting documentation
Expense records where applicable
Prior-year tax information, if requested
We rely on the information provided and do not audit, verify, or independently validate client-supplied data unless otherwise agreed in writing.
3. Document Submission & Intake
Tax returns are prepared using a document drop-off process rather than real-time interviews.
Clients may submit documents directly through the secure portal.
If desired, clients may also schedule a brief, optional 15-minute consultation to review the intake process or clarify documentation requirements.
This consultation is:
Limited to intake and process-related questions
Not intended for tax planning or advisory discussions
Not required for submission or preparation
A return is considered ready for preparation only when:
Required engagement documents are signed
Identification requirements are satisfied
Substantially complete tax information has been received
Incomplete submissions may delay preparation or require an extension.
4. Intake Review & Preparation Queue
Once documents are received, they are reviewed for completeness.
Returns with complete information are placed into the preparation queue
Returns with missing or unclear information are placed on hold until resolved
Returns are prepared in the order that complete information is received
Preparation timelines may vary based on complexity, volume, and time of year.
5. Tax Preparation & Requests for Clarification
Tax returns are prepared using professional tax software and reviewed for accuracy and compliance based on the information provided.
If additional information or clarification is required:
Preparation may pause until the requested information is received
Requests are communicated through secure channels
Prompt, consolidated responses help prevent delays.
6. Fees & Payment
Fees are based on the complexity of the return and the scope of services provided.
Final fees are confirmed once preparation is complete
Payment is required prior to electronic filing
Returns will not be electronically filed until payment is received in full.
7. Electronic Filing & Extensions
Once payment is received:
Returns are electronically filed when eligible
Filing confirmation is provided
If a return cannot be completed prior to the filing deadline due to timing or incomplete information, an extension may be recommended or required to ensure accuracy and compliance.
An extension:
Extends the filing deadline, not the payment deadline
May require an estimated payment to avoid penalties and interest
Clients remain responsible for timely payment of any tax due.
8. Communication
To support efficiency and accuracy:
Communication is conducted primarily through secure portals or written correspondence when available
Messages are reviewed during normal business hours
Repeated or piecemeal submissions may slow processing
Clients are encouraged to submit information and responses in a complete and organized manner.
